The Conversation Lab Privacy Policy

The Conversation Lab™, is an initiative of the University Health Network’s Department of Supportive Care with funding from the UHN Foundation.

University Health Network (“UHN”, “us”, “we”, “our”) The Conversation Lab™) with a third party, Sputnik Design Partners Inc., developed and operates the Conversation Lab™ website to provide our service (the “Service” or “Services”) to users of this website (“you” or “your”). The services provided via this website (the “Services”) are elearning modules and workshops for clinicians. All written and other materials displayed or made available through our Platform such as, but not limited to, documents, videos, audio clips, articles, pictures, illustrations, training materials and links to third party sites, etc. are referred to as “Content” or “Contents”.

As part of our ongoing commitment to protect your information, this privacy policy informs you of our privacy practices to be transparent about how your information is managed by UHN.

Please read this policy carefully as it describes how we collect, use, disclose and safeguard your information. This privacy policy should be read with our Terms and Conditions. By using our Service, including providing your information, you understand and agree to the collection, use, and disclosure of your personal information by us, in the manner described in this policy. Unless otherwise defined in this policy, the terms used in this policy have the same meaning as in our Terms and Conditions.

Collection of Personal Information

You should only enter your business contact information, such as your business email address, instead of your personal contact information, when using the services of our website. Throughout your interactions with our services, we collect the following types of information. The table below outlines the categories of information collected, the specific types of information, and the sources from which we collect them.

Billing Information: When a user subscribes to our Services, they must provide credit card information to process payments. We do not keep your credit card information. Credit card information is provided directly to our payment processor who is PCI-compliant. We receive a ‘token’ from the payment processor that replaces sensitive information and acts as a non-sensitive identifier which can be used by the payment processor to reference your credit card information when future payments need to be processed.

Use of Information

UHN uses the information collected in the table above for the following purposes:

  • providing you with personalized Service
  • maintaining our Service
  • informing you about changes or updates to our Service
  • providing customer service and/or technical support, upon your request
  • gathering analysis and information about how you use the Platform so we can improve our Service
  • de-identifying your information
  • monitoring the usage of our Service, including to detect, prevent and address technical and security issues
  • contacting you about future training opportunities (if you consent to such use)
  • enforcing our obligations under the Terms of Use
  • complying with legal or regulatory requirements or other lawful purposes under applicable laws e.g. Personal Information Protection and Electronic Documents Act (PIPEDA)


De-identified or Aggregated Data

UHN will de-identify and aggregate data generated from the Platform for research, analytical purposes, and to improve user experience on the Platform. De-identified and aggregated data is data that has had the direct identifiers removed.

Use and Disclosure of Information

UHN will use your information solely to provide you with services that are developed and hosted by third-party partners on this website. We will not share your information to any other third parties except for the purpose of providing you with the services or when required by law.
UHN may be required to disclose information you enter into the website, including any personal information, under the following circumstances:

  • to prevent, investigate, or respond to suspected illegal or fraudulent activity or to protect the safety, rights, or property of UHN, our users, or others;
  • when we determine, at our sole discretion, that the disclosure of such information is necessary to enforce our rights against you or in connection with a breach by you of this policy or the Terms of Use;
  • under a regulation, subpoena, or other legal process.


Third Party Sites

The Conversation Lab™ website contains links and content to and from third-party websites. The third parties are solely being used to provide you services through this website and their use is at your sole risk. We recommend that you review the privacy policies of any third-party sites.

Security Safeguards

UHN has developed and operates this website in collaboration with third parties, including hosting providers and website editors. UHN has reviewed the privacy policies and security measures of these third parties used to protect your information through technical, physicial and administrative safeguards. For example, your information will be stored in a database managed by the hosting provider, GreenGeeks®, which undertakes to utilize encryption and access controls.

However there is always a risk of unauthorized access, collection, use, or disclosure of information, including personal information.

It is your responsibility to keep your personal information secure by entering only business contact information into the Conversation Lab™ website, and to help safeguard the information you do enter into the site by safeguarding your password, in accordance with the Terms and Conditions.

We will never send messages to you that request confidential information such as passwords, credit card numbers, or social insurance numbers. Do not act on any such emails as you may compromise your personal information by replying or by following fraudulent links.

Cookies and Related Technologies

A cookie is a small text file that our Platform may place on your device as a tool to remember your preferences and display more relevant information next time you visit.

Correcting or Accessing Your Personal Information

We rely on you to ensure that the information you enter in the Service is as accurate, complete and up-to-date. If you identify personal information within the Platform that contains errors and needs to be corrected, please inform us of the necessary changes at theconversationlab@uhn.ca.

You have a right to request access to your personal information held by UHN within the Platform. You also have a right to know if your personal information has been shared with third parties. To make an access request, please contact us at theconversationlab@uhn.ca.

Removing Consent

You can withdraw your consent for UHN to use your information held within the Platform at any time by contacting us at theconversationlab@uhn.ca. You may also request that your information and account be deleted from the Platform but please note, UHN cannot delete information that has been previously shared with third parties.

Children’s Data

We do not knowingly collect children’s data. Our services are intended for persons 18 years of age and older and are not directed towards or meant to be used by children. If you think a child may have created an account with us without your consent, you may request the deletion of any information provided to and retained by us by writing to us at theconversationlab@uhn.ca.

Changes to Our Privacy Policy

We may update this policy from time to time. Updated versions of the privacy policy will be posted on the Conversation Lab website. It is your responsibility to review any updates. Your continued use of the website represents your continued consent for UHN to collect and use your personal information for the purposes set out in the current privacy policy.
